A reputable public organization invites applications fromsuitably qualified Ghanaians to fill the job vacancy as Administrative Assistance. 

Position: Administrative Assistance

Reports directly to:The Senior Administrative Officer

Purpose: To assist in the smooth running Of the organisation.

Responsibilities / Duties:

Administrative

  • Draft letters and memos
  • Record minutes of the Section's Operational Committee as the Secretary
  • Monitor and control secretarial services
  • Receive all incoming letters and memos for onward submission to the unit Head
  • Ensure the setting up of office for newly engaged staff
  • Prepare Drivers and Vehicle schedules for travels
  • Ensure general cleanliness of the offices
  • Keep an update of the Assets Register
  • Provide administrative support for all events
  • Maintain proper documentation and files
  • Supply Requisition and Goods Received Notes
  • Provide information in respect of expenditures on office supplies for reports and budgetary purposes
  • Ensure that all supplies and equipment in store rooms are well secured
  • Assist with documentation of all statutory deductions and payments

Human Resource Management (i.e. managerial, administrative or other)

Support the implementation of all HR-related plans and programmes including:

  • Dispatch all letters
  • Monitor staff leave roster
  • Draft minutes and letters for the attention of the Head of the Unit
  • Update employee database and administrative filing

Qualifications, Work experience and Skills

  • A minimum of Higher National Diploma from a recognised tertiary institution
  • Three (3) years relevant working experience as administrative or personal secretary of a senior management member
  • Good planning and organising skills
  • Excellent computer skills and advanced knowledge of Microsoft suite especially word and PowerPoint
  • Good analytical skills
  • Ability to maintain confidentiality
  • Dependability
  • Ability to work under extreme pressure
  • Any other duty that will be assigned by the head of the unit
