Job Summary

We are looking for an objective Zonal Manager to add value and improve our operations by bringing a systematic and disciplined approach to the effectiveness of depot management, control, and governance processes.

The Zonal Manager is the backbone of our Kumasi depot operations, responsible for overseeing the daily receipt, storage, and dispatch of fresh tilapia. You will be the key link between the company and our customers (market traders, retailers, and consumers) in the Kumasi area, ensuring product quality, cold chain integrity, and operational efficiency.

As a member of the Sales Department, you will work closely with the Sales Manager to align depot operations with sales targets and customer demand. You will lead a team to uphold the Volta Catch standard of freshness and service excellence.

Key Responsibilities

1. Depot Operations & Cold Chain Management

  • Oversee the end-to-end operations of the Kumasi depot, including unloading fresh tilapia from refrigerated trucks, sorting by size, weighing, and dispatching to customers.
  • Maintain strict cold chain integrity from the moment fish arrive until they leave the depot to guarantee "just-caught" freshness.
  • Coordinate daily with transport logistics to ensure timely stock replenishment from our Lake Volta farming operations.
  • Plan and manage delivery schedules for outgoing orders to wholesalers, retailers, and food service clients within the Kumasi area.

2. Team Leadership

  • Supervise and motivate depot staff, including supervisors, loaders, drivers, and security personnel at the Kumasi depot.
  • Foster a culture of discipline, hygiene, and customer focus.
  • Conduct daily briefings to communicate targets, safety protocols, and quality standards.
  • Assist in training team members on proper fish handling techniques to minimize waste and maintain quality.

3. Inventory & Quality Assurance

  • Implement rigorous stock control procedures to manage inventory throughout the product life cycle.
  • Conduct daily physical stock counts to ensure accuracy and minimize losses.
  • Perform quality checks on all incoming and outgoing stock, ensuring only the freshest tilapia reaches our customers.
  • Enforce FIFO (First-In, First-Out) principles to manage turnover and reduce spoilage.

4. Sales & Customer Service Excellence

  • Work directly with the Sales Manager to align depot stock availability with daily sales forecasts and targets.
  • Lead the delivery of outstanding customer service, ensuring fair and equitable treatment of all customers in the Kumasi market.
  • Act as the primary point of contact for customer inquiries, requests, and complaints within the region.
  • Handle high-pressure situations professionally, including managing customer expectations during peak demand periods.
  • Build strong relationships with local market traders, wholesalers, and retailers who depend on our depot for their livelihoods.
  • Identify and report local market trends, competitor activities, and opportunities for sales growth to the Sales Manager.

5. Reporting & Administration

  • Prepare and submit daily and weekly reports to the Sales Manager on stock levels, sales volumes, wastage, and depot performance.
  • Track depot-level expenses and assist in managing the location budget.
  • Ensure accurate documentation for all transactions, including invoices and delivery notes.

6. Maintenance, Safety & Compliance

  • Ensure the Kumasi depot is maintained to the highest standards of cleanliness and hygiene.
  • Oversee the basic maintenance of cold rooms, weighing scales, and material handling equipment.
  • Enforce all safety protocols to prevent workplace accidents (slips, trips, falls).
  • Maintain depot security to prevent theft or unauthorized access.

Qualifications and Requirements

  • Education: Bachelor's Degree in Business Administration, Marketing, Sales, Supply Chain, Social Sciences, or a related field.
  • Experience: Minimum 2-4 years of experience in depot management, operations, sales, or a supervisory role, ideally within the fast-moving consumer goods (FMCG), perishable foods, or fisheries sector.
  • Schedule Flexibility: Must be willing and able to start work as early as 4:30 AM to receive the morning catch and prepare for market opening.

  • Perishable Goods Expertise: Understanding of the urgency required in handling fresh fish.
  • Sales Orientation: Ability to balance operational efficiency with customer satisfaction and sales growth.
  • Problem-Solving: Ability to think creatively and make quick decisions regarding stock quality or customer issues.
  • Numeracy & Data Analysis: Ability to analyze sales data, manage stock levels, and understand depot profitability.
  • Leadership: Self-confidence and the ability to set performance standards and lead a team by example.
  • Resilience: Capable of handling customer pressure and working in a fast-paced, wet environment.
  • Communication: Fluent in English and local language (Twi).
