Job Purpose

To build database for decision-making as well as action-taking, and coordinate all administrative activities of the Operations Department.

Reports to: Operations Manager

Duties & Responsibilities

  • Receives and builds database of specified information submitted to the Operations Department by field staff and other departments
  • Ensures data/documentations received from the field staff are in full composition as expected to enhance the purpose for which they were requested before their registration and dispatch
  • Responsible for timely registration and dispatch of all documentations received from the field staff, but meant for other departments
  • Keeps track of all documentations received at the department as well as those shared with other departments
  • Communicates feedback on documentations and complains received from the field and handed over to other departments
  • Assist in organizing training programmes, workshops, and meetings of the department
  • Follow-up on requests made by field staff from other departments and gives feedback
  • Coordinates the work of the Operations Manager with regards to typing, binding and the preparation of documents for meetings
  • Take minutes of meetings, workshops, and trainings of the Operations Department
  • Deals with correspondences of the Operations Manager
  • Prepare and provide weekly, monthly and quarterly reports to the Operations Manager on all documentation and data received
  • Perform any other duty that may be assigned by the Operations Manager

Required Skills or Experience

  • A minimum of a Degree in Business Studies or any relevant discipline and 2-3 years’ extensive field experience in cocoa or other relevant crop.
  • Proactive in building good database of work done
  • Ability to work independently and constructively to meeting project deliverables on deadlines
  • Ability to work under pressure with minimum supervision, and be result-oriented
  • Ability to work for long hours, and be a good team player
  • Excellent planning, organization, reporting writing, and presentation skills.
  • Good interpersonal and communication skills
  • Must be able to work according his supervisor’s instructions and be self-motivated
  • Ability to keep confidential information
  • Excellent I.T. skills with strong working knowledge in Microsoft Word, Excel and PowerPoint
  • Fair knowledge in certification and other field activities
  • He/she MUST pay attention to details
