Job Purpose: 

Our client is searching for a multi-skilled person with strong customer service focus, well-developed administrative skills and a high sense of integrity. Candidates must demonstrate a high level of self-motivation, initiative, and ability to work in a team environment

General Responsibilities: 

  • Front Office duties -i.e. answering / transferring incoming calls, liaising with security posts to receive and direct visitors.
  • Updates the company’s calendar on a weekly basis.
  • Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
  • Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories;
  • Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies. (Office supplies, confectionaries)
  • Responsible for scheduling meetings ,travel,  other appointments for the executives they are assigned to work with. In addition to making appointments,
  • Office Management – making sure that everything is in place for the office to function smoothly.
  • Records Management Maintaining company records- responsible for setting up and managing both electronic and paper filing systems, as well as taking steps to maintain that the company is in compliance with all app

 

Required Skills or Experience

  • Bachelor’s Degree in Business Administration or similar secretarial/administrative education.
  • High computer literacy in Microsoft office Applications
  • At least 2 years of work experience in an administrative position.
  • Perfect English language skills – speaking, reading and writing.
  • Additional foreign languages skills are an advantage but not a requirement.

  • Willingness and ability to adjust to changing organizational requirements. Flexible approach to daily working tasks, high capacity, and ability to work under pressure.
  • Ability to prioritize, attention to detail and sound judgement.
  • High personal integrity.
  • A good team player, good sense of humor and a loyal colleague.
  • Proactive and results-oriented.
