Zonda Tec Ghana Limited has established itself as a major force in Ghana's automotive industry, specializing in the assembly, sale, and servicing of both light-duty and heavy-duty vehicles. With a commitment to driving industrial growth and empowering local talent, Zonda Tec has expanded its operations to include multiple assembly plants and a network of showrooms across Ghana. To support our expanding supply chain and ensure the seamless importation of vehicle components and parts, we are seeking a dedicated and detail-oriented professional to join our Procurement and Clearance Department in Tema.

Job Summary

The Procurement Assistant will be responsible for managing the end-to-end customs clearance, freight logistics, and procurement support functions for the company. This role is critical to ensuring the timely and cost-effective release of consignments, maintaining compliance with Ghanaian customs regulations, and supporting the company’s assembly operations by facilitating the seamless flow of goods through the Tema port.

Key Responsibilities

  • Manage End-to-End Clearance: Oversee the entire customs clearance process for imported goods (vehicle parts, machinery, and other materials) from the arrival of consignments at the Tema port to final delivery to the warehouse or assembly plant.

  • Documentation & Compliance: Prepare, process, and verify all required import documentation, including Bills of Lading, Commercial Invoices, Packing Lists, and Certificates of Origin, ensuring full compliance with Ghana Revenue Authority (Customs Division) regulations.

  • Duty & Tariff Management: Classify goods using the appropriate HS Codes and process duty payments. A key focus will be working on exemptions and discounts to optimize import costs. This includes preparing and submitting applications for duty waivers and other incentives available for industrial and commercial vehicles.

  • System Proficiency: Utilize the Ghana Customs management system (ICUMS) for processing entries, checking duties, and tracking the status of consignments.

  • Stakeholder Liaison: Coordinate with shipping lines, freight forwarders, and clearing agents to ensure zero demurrage, detention, or storage charges through proactive monitoring and planning.

  • Issue Resolution: Proactively identify and resolve customs-related issues, including delays, discrepancies, or documentation errors, to prevent disruptions to the supply chain.

  • ETA and Consignment Tracking: Monitor Electronic Travel Authorization (ETA) requirements for visiting technicians or executives when related to procurement and logistics activities and ensure real-time tracking of all inbound consignments.

  • Reporting: Prepare detailed reports on clearance activities, including cost analysis, shipment status, and any delays or disruptions.

  • Record Keeping: Maintain accurate and up-to-date records of all clearance transactions, duty payments, and procurement activities for audit purposes.

  • Compliance: Ensure all logistics and clearance operations align with Ghanaian import/export laws, tariffs, and the company’s internal compliance standards.

Qualifications & Requirements

  • A Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field is required.

  • A minimum of 3-5 years of proven experience in customs clearing, freight forwarding, and port operations in Ghana, preferably within the automotive, manufacturing, or heavy equipment industry.

Skills & Knowledge

  • In-depth working knowledge of Ghana Customs procedures and the ICUMS system.

  • Strong understanding of import/export processes, shipping documentation, Incoterms, and duty calculations.

  • Proficiency in Microsoft Office Suite (especially Excel) is essential.

  • Strong attention to detail, excellent organizational, communication, and problem-solving skills.

  • Ability to work under pressure and meet tight deadlines.

  • High level of integrity and a proactive approach to work.
