OBJECTIVE:

The Senior HR & Administrative Associate supports the organization’s HR governance and administrative effectiveness through structured policy implementation, regulatory compliance coordination, HR budgeting support, and controlled administrative processes. The role focuses on ensuring that people-related documentation, compliance activities, and administrative records are accurate, well-managed, and aligned with organizational standards.

KEY RESPONSIBILITIES:

Human Resources

  • Support the review, update, and implementation of HR policies, procedures, and internal guidelines in line with labor laws and organizational standards.
  • Maintain and periodically update the employee handbook, code of conduct, and workplace regulations to reflect approved changes
  • Provide day-to-day guidance to employees and line managers on the interpretation and application of HR policies, escalating complex issues where necessary.
  • Track compliance with labor legislation, statutory obligations, and internal governance requirements, ensuring documentation is complete and audit ready.
  • Coordinate statutory filings, regulatory submissions, and labor-related reporting with relevant internal and external stakeholders.
  • Maintain the integrity, confidentiality, and proper organization of employee records, contracts, and policy acknowledgment documentation.
  • Flag potential HR compliance risks and support the implementation of corrective and preventive actions.

Administration

  • Support the preparation of the annual HR and Administration budget, tracking expenses, and highlighting variances.
  • Support the administration and monitoring of administrative policies, procedures, and internal controls to ensure structured and compliant office operations.
  • Manage administrative vendor and service provider documentation, including contracts, renewals, and compliance records.
  • Maintain accurate records for company assets, insurance, licenses, and other statutory administrative documentation.
  • Track and prepare periodic reports on HR governance, compliance status, and administrative cost tracking for management review.
  • Develop and maintain trackers for policy updates, compliance deadlines, contracts, and key administrative obligations.
  • Recommend and implement process improvements to enhance administrative efficiency, cost control, and policy compliance.

QUALIFICATIONS:

  • Bachelor’s degree in Human Resource Management, Business Administration or other related discipline.
  • Professional HR certification (e.g., CIPD, SHRM, HRCI) is an advantage.
  • Master's degree is a plus.
  • Multicultural experience is mandatory.

KNOWLEDGE & EXPERIENCE:

  • A minimum of 8 years of experience in a similar role, for an international company.
  • Proficiency with industry-specific software (SAP or Sage300).
  • Strong knowledge of labor laws and HR compliance requirements.
  • Demonstrated experience supporting policy implementation and regulatory compliance.
  • Excellent documentation and record management skills.
  • High level of integrity and ability to handle confidential information.
  • Good vendor management and negotiation skills.
  • Strong analytical and reporting skills, particularly related to budgets and compliance tracking.
  • Proficiency in Microsoft Excel, including advanced functions such as VLOOKUP / XLOOKUP, pivot tables, data analysis, and the ability to manage large data sets effectively.
  • Excellent attention to detail and problem-solving skills.
  • Ability to work under pressure and meet tight deadlines while maintaining accuracy.
