The Union for African Population Studies (UAPS) invites applications for the position of Editorial Assistant to support the effective coordination, peer-review management, and publication workflow of the Journal of African Population Studies (JAPS), a bilingual (English and French) academic journal dedicated to high-quality research on population and development issues in Africa.

The Editorial Assistant will work under the direct supervision of the Editor-in-Chief and report administratively to the Executive Secretary. The Editorial Assistant will also collaborate closely with the Editorial Board, authors, reviewers, and other stakeholders involved in the journal’s production. The role requires strong communication skills and the ability to manage multiple editorial workflows efficiently and with attention to detail.

Key Responsibilities

The Editorial Assistant will support the Editor-in-Chief and Editorial Board of the Journal of African Population Studies (JAPS) in ensuring the efficient and professional management of the journal’s editorial and publishing processes. Key responsibilities include, but are not limited to:

Editorial and Publishing Support

  • Supporting the Editor-in-Chief and Editorial Board in all publication-related activities, including administrative coordination.
  • Coordinating the manuscript workflow, including submission tracking, peer review, revisions, and production timelines.
  • Proofreading accepted manuscripts and finalizing layouts in collaboration with corresponding authors.
  • Assisting in the proposal and typescript review processes.
  • Providing occasional research and editorial support to the editorial team.

Author and Contributor Relations

  • Maintaining ongoing communication with authors, editors, and reviewers to monitor progress and ensure timely outputs.
  • Building and maintaining positive relationships with authors and contributors by offering high-quality support and service.
  • Managing acknowledgements and communications with donors and partners, where applicable.

Administration and Coordination

  • Handling administrative tasks such as processing payments and maintaining editorial records.
  • Liaising with relevant stakeholders involved in the publication process and providing information as needed.
  • Preparing progress updates and supporting reporting to internal committees as required.

Technical and Web Support

  • Interfacing with the journal’s website host to manage updates and online publishing.
  • Troubleshooting and coordinating solutions for technical issues related to the journal’s website or publishing platform.

Required Skills or Experience

Qualifications & Experience

Academic Requirements

  • A master’s degree in social science (e.g., population studies or a discipline represented in the journal), publishing, or a related field.

Knowledge, Skills & Experience

  • A minimum of two years’ experience working with academic journals, including peer-review processes, editorial workflows, research, publishing, or other relevant fields.
  • Excellent skills in proofreading, copyediting, and manuscript evaluation.
  • Strong written and verbal communication abilities, with exceptional attention to detail.
  • Proven ability to work independently, manage multiple priorities, and meet tight deadlines.
  • Proficiency in Microsoft Office, Adobe Creative Suite, and other document publishing tools.
  • Familiarity with research ethics, open-access publishing models, and principles of scholarly communication.
  • Proficiency in Open Journal Systems (OJS) or similar journal management platforms is highly desirable.
  • Bilingual proficiency in English and French is required
