Summary

We are seeking an Operations Support Liaison to join our team to provide critical operational and logistical support to ensure the smooth functioning of a health-focused non-profit organization. The individual will help create and maintain an efficient, compliant, and supportive working environment by managing facilities, coordinating vendor relationships, and assisting with planning and reporting functions.

Key Responsibilities

1. Facilities Management & Work Environment Optimization

  • Oversee the day-to-day maintenance and functionality of the organization’s office space, ensuring a safe, clean, and professional environment for staff.
  • Coordinate office repairs, furniture arrangements, and utility services as needed.
  • Ensure compliance with safety regulations and office-related policies.

2. Vendor & Contractor Coordination

  • Serve as the primary point of contact for artisans, vendors, and contractors.
  • Manage service schedules, track vendor performance, and ensure contracts are fulfilled according to agreed standards.
  • Assist in sourcing supplies and services in line with organizational procurement policies.

3. Operational Planning & Reporting

  • Support internal teams with scheduling meetings, planning logistics for events, and maintaining operational timelines.
  • Assist in preparing reports related to office operations, expenditures, and process improvements.
  • Help streamline operational workflows to support team efficiency.

4. Compliance & Process Support

  • Contribute to ensuring organizational compliance with internal policies and external regulations related to health and safety.
  • Support documentation and implementation of operational policies and procedures.
  • Assist with initiatives aimed at improving internal processes and workplace functionality.

Required Skills or Experience

Qualifications

An applicant should have:

  • A bachelor’s degree in the social sciences, public administration, or business from an accredited university.
  • At least 2 years of working experience.
  • Strong organisational skills and attention to detail.
  • The fortitude to thrive under pressure in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • A tenacious, proactive approach to problem-solving.
