Lively Minds, an award-winning charity, is hiring to support our ambitious and exciting Early Childhood Development programme in Ghana and Uganda.

Job Description

Main Duties and Responsibilities

Project Management & Coordination 

  • Support the organisation by providing leadership and guidance on project management best practices, tools, and lessons learned. 
  • Lead on specific projects assigned by the CEO and Operations Director, ensuring effective planning, execution, and risk management. 
  • Maintain a strategic view across all projects, identifying interdependencies, risks, and bottlenecks. 
  • Collate, analyse, and present data on project progress, risks, and impact to senior management and external stakeholders. 
  • Facilitate cross-team coordination and problem-solving discussions to ensure alignment and efficiency.

Project Governance 

  • Ensure risk management is embedded across projects, proactively identifying and mitigating risks in consultation with relevant teams. 
  • Support continuous learning and improvement by capturing best practices and facilitating retrospectives across projects. 
  • Ensure the right tools and mechanisms are used to maintain up-to-date documentation. 

Stakeholder Engagement & Communication 

  • Adapt communication style to engage effectively with different stakeholders, from field teams to senior leadership and external partners. 
  • Present project updates, risks, and key insights to senior management and external stakeholders. 
  • Facilitate meetings and workshops to drive project success and cross-team collaboration. 
  • Ensure information flow across teams, supporting clarity on priorities and expectations. 

Other 

  • May be asked to deputise for the Operations Director, Country Director (Ghana), or other Senior Management Team members at external events. 
  • Contribute flexibly to the wider team’s work, leveraging skills and experience to support Lively Minds’ mission. 

Required Skills or Experience

To succeed in this role, you: 

  • Are an excellent communicator who can clearly set expectations, challenge others constructively, and ensure accountability. 
  • Have strong risk management skills and can embed a proactive approach to risk identification and mitigation. 
  • Are proactive in identifying opportunities to improve systems and processes. 
  • Are a strong leader, able to influence and support others in embedding best practice. 
  • Are adaptable, with the ability to work effectively with diverse stakeholders across different cultural and operational contexts. 
  • Are comfortable working in a fast-paced, high-pressure environment. 

Technical Abilities

Essential: 

  • Minimum of 4 years of project management experience. 
  • Experience developing user-friendly project management tools and processes. 
  • Strong analytical skills with experience in collating and presenting data to senior leadership. 
  • Ability to coordinate multiple projects, identify interdependencies, and manage risks effectively. 
  • Data-driven, with the ability to collate, analyse, and present meaningful insights that inform decision-making 
  • Proficiency in Microsoft 365, including PowerPoint and advanced Excel skills. 
  • Excellent written and verbal communication skills in English. 
  • Ability to engage and influence stakeholders at all levels, including field teams and Senior Management. 
  • Experience facilitating meetings and workshops to drive project success.

Desirable  

  • Professional Project Management certification or equivalent (e.g., Prince 2, Six Sigma). 
  • Flexible style for internal/ external stakeholders management – this means adapting your approach to get the best out of people.  
  • Experience in change management.  
  • Experience supporting complex, long-term projects. 
  • Experience developing high-level communications, such as briefing papers and strategic presentations. 
  • Experience using data analytics tools. 
  • Experience working in the global south.  
  • The postholder must be open to adapting to new cultural contexts and ways of working.
