Job Summary:
This role includes coordinating meetings, maintaining calendars, and organizing high-priority tasks, while managing correspondence, travel arrangements, and events. Additionally, the candidate will be responsible for handling sensitive information with discretion, anticipating the needs of the Creative Director/CEO, and fostering relationships with key stakeholders, clients, and partners.
The position requires a proactive, detail-oriented individual with a strong understanding of the fashion industry, exceptional organizational skills, and the ability to work under pressure in a fast-paced, dynamic environment.

Key Responsibilities
- Coordinate and schedule travel, meetings, appointments and conferences for Chief Executive Officer and Creative Director.
- Manage constantly changing calendar and itinerary, while ensuring accurate prioritization of meetings and ensuring that vital business obligations are met.
- Maintain health relationships with all stakeholders and protect their contact information.
- Liaise with Stock Supervisor to maintain supplies and coordinate maintenance of equipment.
- Manage daily administration and overall supervision of the technical team and provide accurate daily report on their performances.
- Maintain a system for recording daily expenses and the use of petty cash for the team.
- Process payments by preparing invoices and issuing receipts for purchases and services.
- Respond to and resolve clients’ complaints, inquiries and questions.
- Proactively manage and prioritize incoming and outgoing communications including but not limited to emails, telephone calls, reports, etc.
- Receive and label clients’ fabrics for processing, and alterations.
- Assist designers during measurement and fitting appointments with clients.
- Assist designers with customized services e.g. Bride dress-up,
- Organize a smooth and timely flow of information in and out of the office.
- Develop and maintain a filing system on records of client interactions and progress.
- Follow up on technical activities to ensure timely completion.
- Liaise with Accounting Consultant to prepare quarterly financial reports.
- Coordinate service survey for client intermittently.
- Provide a red-carpet shopping experience and friendly environment for clients at all time.
- Professionally engage the community through marketing and outreach with relevant organizations to initiate events that lead to sales generation.
- Liaise with designers and clients to communicate any changes or modifications to designs.
- Perform quality control checks by examining apparels to ensure accuracy and identify inadequacies, damages etc. for alteration or correction to the required specification before delivery to client.
- Work on any other projects as assigned.
Required skills and Experience
- Bachelor’s degree in Business administration, Communications, or a related field from an accredited institution.
- 3 – 5 years of experience in executive assistant or similar role.
- Proficiency in MS office suite, particularly Excel and PowerPoint or related software.
- Excellent organizational skills, attention to detail, and ability to handle confidential information with discretion.
- Excellent in connecting with client and conveying information in a clear and concise manner.
- Good understanding of emotions, needs and concerns of both client and colleague.
- Excellent in providing practical and innovative solutions to client needs
- Ability to anticipate client needs and prioritize client satisfaction promptly and effectively.
- Understand industry trends and identify opportunities for upsell or cross-sell services to client.
- Well-groomed and decent dressing.
