The Consult-AGE is seeking a highly skilled and organized Executive Assistant to join our dynamic team. As an Executive Assistant, you will play a crucial role in supporting the managing practitioner and ensuring the smooth operation of daily business activities. Responsibilities

  • Aid management in preparing for meetings
  • Responding to emails and document requests on behalf of management
  • Draft slides, meeting notes, and documents for management
  • Assist the managing practitioner in managing the Firm's social media pages from time to time
  • Provide comprehensive administrative support, including managing calendars, scheduling appointments, and coordinating meetings.
  • Handle and prioritize incoming communications (phone calls, emails, letters) and respond to inquiries on behalf of the managing practitioner.

  • Prepare and edit correspondence, reports, and presentations with attention to detail and accuracy.
  • Conduct research, compile data, and prepare reports or summaries as requested.
  • Maintain confidentiality of sensitive information and exercise discretion in handling sensitive matters.
  • Collaborate with internal and external stakeholders to ensure smooth coordination and efficient workflow.
  • Oversee petty cash and maintain accurate records of expenditures and reimbursements.
  • Perform general administrative tasks such as filing, photocopying, and record keeping.
  • Manage the day-to-day operations of the office, including office supplies procurement, vendor coordination, and facilities management.
  • Handle ad hoc projects and tasks as assigned.
  • Draft invoices and follow up with customers on overdue balances

 

Qualifications

  • Bachelor's degree or equivalent experience
  • Proven experience as an Executive Assistant or similar role, preferably in a fast-paced corporate environment.
  • Exceptional organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Strong problem-solving skills and the ability to anticipate needs and proactively address issues.
  • Proficiency in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Demonstrated ability to handle confidential information with discretion and maintain a high level of professionalism
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
  • Excellent written and verbal communication skills
  • Basic knowledge of how to post content on social media (i.e. Instagram, LinkedIn)
  • Strong attention to detail and accuracy in all aspects of work.
  • Basic Accounting knowledge
