The Office Administrator will oversee the daily operations of our office, ensuring efficiency and effectiveness in administrative processes. This role involves coordinating office activities, maintaining records, providing support to staff and clients, and ensuring a smooth workflow within the organization.
Key Responsibilities
Administrative Support:
- Manage and organize office operations, ensuring a clean and professional work environment.
- Handle incoming calls, emails, and correspondence.
- Prepare and distribute memos, reports, and other documents as needed.
Client Management:
- Assist with client inquiries, bookings, and itinerary updates.
- Ensure client files and records are accurate and up-to-date.
- Coordinate with the travel consultant team to address customer needs.
Scheduling and Coordination:
- Maintain staff schedules and calendars.
- Organize meetings, appointments, and travel arrangements for staff or clients.
- Assist in planning and executing company events or promotional activities.

Financial Administration:
- Handle petty cash and process invoices.
- Track office expenses and prepare monthly reports.
- Coordinate with the finance team for payroll and financial reconciliations.
Vendor and Supplier Management:
- Maintain relationships with office suppliers and travel partners.
- Ensure timely procurement of office supplies and materials.
- Monitor and manage service agreements and contracts.
Data and Systems Management:
- Update and maintain the company database and filing systems.
- Ensure compliance with data protection policies.
- Assist in implementing office technology upgrades or software solutions.

Required Skills or Experience
