The Encyclopaedia Africana Project (EAP) Secretariat invites applications from suitably qualified, dynamic, and results-oriented individuals for the position of Administrative Assistant.
Job Purpose
The successful candidate will provide administrative, clerical and logistical support to ensure the efficient day-to-day operations of the Secretariat. The role also requires the ability to drive official vehicles to support staff, project activities, meetings, and field assignments.
Key Responsibilities
The successful applicant will be required to:
- Provide general administrative and secretarial support to the Secretariat.
- Receive, record, file and maintain both electronic and physical records.
- Prepare correspondence, reports, meeting minutes and other official documents.
- Manage office supplies and maintain inventory records.
- Assist in organising meetings and official events.
- Drive official vehicles for official assignments and project activities as required.
- Ensure the cleanliness, safety and routine maintenance of office vehicles.
- Maintain accurate vehicle logbooks and promptly report any faults or maintenance needs.
- Perform any other duties assigned by the Director.
Qualification Required & Experience
Applicants must possess:
- A Diploma in Business Administration or a related field from an accredited tertiary institution.
- A minimum of two (2) years’ relevant working experience in an administrative role.
- A valid Ghanaian Driver’s licence with a good driving record.
- Demonstrable driving experience and sound knowledge of road safety regulations.
Knowledge, Skills and Competencies
The ideal candidate should possess:
- Excellent written and verbal communication skills.
- Good organisational and time-management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook).
- Strong interpersonal and customer service skills.
- Ability to work independently and as part of a multidisciplinary team.
- High level of integrity, professionalism and confidentiality.
- Ability to prioritise tasks and work under pressure with minimal supervision.
- Good knowledge of office administration procedures.
