Kintampo Health Research Centre (KHRC) is a well-established, African-based, research centre and one of three field research centres of the Research and Development Division of the Ghana Health Service. The work of KHRC has influences on health policy and practice throughout Ghana, Africa and the rest of the world. KHRC also offers research and training services nationally and internationally and its staffs are multidisciplinary. KHRC is located in the middle belt of Ghana.

Qualified applicants are invited to apply to work as a Project Secretary at Kintampo Health Research Centre, Kintampo North Municipality, Bono-East Region.

Type of Appointment: Full-Time Contract.

Duration: One (1) year (renewable)

Brief Job Description

He/she shall be responsible for facilitating communications within and outside the institution. His/her duties will include answering and redirecting phone calls, schedule meetings and providing support for other staff. 

Key Responsibilities

  • Receptionist duties 
  • Answering enquiries via phone and email
  • Maintain record-keeping system for files, contacts, and employee directory
  • Prepare letters, reports, memoranda, meeting minutes etc. 
  • Oversee office equipment and supplies, and initiate requisitions to replenish inventory. 
  • Assist staff members with coordination of schedules, appointments and daily operational tasks. 
  • Organize and distribute messages, memos etc.
  • Maintain departmental files/records
  • Assist with presentations and reports. 
  • Set up conference calls and take messages and minutes during meetings. 
  • Perform administrative tasks, including filing and photocopying. 
  • Perform other assigned duties by KHRC.  

Required Skills or Experience

Qualification

  • BA Secretaryship and Management Studies certificate from a recognized and an accredited institution.

Skills and Experience

  • 3 years of clerical experience 
  • Good knowledge of standard Software packages (eg. Microsoft Suite). 
  • Ability to work independently. 
  • Organized and professional conduct. 
  • Exceptional written and verbal communication skills. 
  • Experience in maintaining and prioritizing calendar of activities.  
  • Team-working skills 
  • Attention to details 
  • Confidence. 
  • Organization and time management skills. 
  • Ability to be proactive and use of initiative. 
  • Ability to multitask and manage time.
