POSITION SUMMARY & KEY AREAS OF RESPONSIBILITY:
- Personal Assistance to Area Banking Sales Africa VP
- Responsibilities include calendar management and scheduling domestic and/or international travel; Calendar management also includes meeting scheduling, including applicable communication with meeting attendees and preparation/distribution of meeting materials/documentation
- Continuous update of organization charts & phone lists
- Maintain absence & vacation spreadsheets for manager’s reports
- Work with corporate facilities and other groups on behalf of team
- Responsible for maintaining an orderly and efficient operation through the performance of office duties
- Provide daily assistance to reporting manager; Ensure manager is in connection with internal and external parties in a timely, effective and efficient manner
- Prepares records such as agendas, notices, minutes, and resolutions for meetings, and distributes materials in advance
- Assists with sorting, prioritization, and disposition of incoming calls and correspondence (email and postal mail), responding independently when appropriate
- Displays understanding of the business as a whole, as well as the functional organization's priorities to ensure projects and tasks are proactively being managed
- Provide support to weekly outlook reporting cadence calls to Manager covering Region
JOB REQUIREMENTS
BASIC QUALIFICATIONS:
- 2+ years of related experience
- Experience/proficiency with MS Office (PowerPoint, Word, Excel, Outlook, etc.)
- Demonstrated ability to learn new systems and processes specific to the business operations (travel, expense, Accounts payable, P&L, and purchase orders)
- Strong organizational & prioritization skills
- Excellent interpersonal, verbal, and written communication skills
- Ability to work in a team environment and perform duties with accuracy, quality, and integrity
- Ability to discern confidentiality of information and handle appropriately
- Flexibility, tolerance for ambiguity, and an ability to be responsive to and/or perform under pressure and within defined deadlines with minimal supervision
PREFERRED QUALIFICATIONS:
- Experience in a multinational organization
- Experience supporting upper-level management
