Job Description

  • Department: Auto Business Division - Fleet Management
  • Reports To: Auto Business Division Head

Position Summary

The Fleet Operations Manager oversees all aspects of Bricks & Mint's fleet operations including vehicle sales, rentals, corporate leasing, and internal company fleet. This strategic leadership role is responsible for optimizing fleet performance, managing operations across multiple service lines, controlling costs, ensuring safety and compliance, and driving revenue growth through excellent customer service.

Key Responsibilities

Strategic Fleet Management

  • Develop and implement comprehensive fleet strategy
  • Conduct fleet needs analysis and planning
  • Create 3-5 year fleet replacement and expansion plans
  • Optimize fleet size and composition across all operations
  • Identify opportunities for fleet optimization and cost reduction
  • Develop sustainability initiatives for fleet operations

Operational Management

  • Oversee day-to-day fleet operations (rentals, leasing, internal fleet)
  • Manage vehicle acquisition, deployment, and disposal
  • Ensure vehicle availability meets business demands
  • Coordinate with business units on fleet requirements
  • Monitor and improve fleet utilization rates (target: 85-90%)
  • Manage fleet inventory across all service lines

Maintenance and Asset Management

  • Establish and oversee preventive maintenance programs
  • Manage relationships with service providers and repair facilities
  • Monitor vehicle condition and maintenance compliance
  • Control maintenance costs while ensuring quality
  • Manage warranty claims and manufacturer recalls
  • Track total cost of ownership for all vehicles

Driver and Personnel Management

  • Recruit, train, and supervise fleet department staff
  • Manage Chief Driver and all company drivers
  • Establish driver qualification standards and training programs
  • Monitor driver performance and safety records
  • Conduct performance evaluations
  • Address performance issues and disciplinary matters

Financial Management

  • Prepare and manage annual fleet budget (all operations)
  • Forecast capital expenditure requirements
  • Develop pricing strategies for rental and leasing services
  • Monitor and control operational costs
  • Track and report budget variances
  • Analyze return on investment for fleet decisions

Fuel Management

  • Implement fuel management and cost control programs
  • Monitor fuel consumption and identify irregularities
  • Manage fuel card program and prevent fraud
  • Negotiate fuel supply contracts
  • Track fuel efficiency metrics

Safety and Risk Management

  • Implement comprehensive fleet safety programs
  • Ensure compliance with traffic laws and regulations
  • Investigate accidents and implement corrective actions
  • Manage insurance coverage and claims
  • Monitor safety performance metrics
  • Conduct regular safety audits

Compliance and Regulatory

  • Ensure compliance with DVLA regulations
  • Maintain current vehicle registrations and permits
  • Ensure roadworthiness certification compliance
  • Manage insurance requirements and renewals
  • Maintain accurate fleet documentation

Customer Service (Rental/Leasing)

  • Ensure high-quality service for rental and leasing customers
  • Manage customer relationships and satisfaction
  • Resolve customer complaints and issues
  • Develop customer service standards and protocols
  • Monitor customer feedback and implement improvements

Technology and Systems

  • Implement and manage fleet management software
  • Utilize GPS/telematics for fleet optimization
  • Maintain accurate fleet inventory database
  • Leverage data analytics for decision-making
  • Evaluate and adopt new fleet technologies

Vendor and Supplier Management

  • Select and qualify fleet service vendors
  • Negotiate contracts and service agreements
  • Monitor vendor performance and compliance
  • Manage vendor relationships
  • Conduct periodic vendor reviews

Reporting and Analysis

  • Prepare monthly fleet performance reports
  • Provide quarterly business reviews to senior management
  • Track and report key performance indicators (KPIs)
  • Analyze trends and make data-driven recommendations
  • Present budget variance reports

Required Skills or Experience

Qualifications

Education

  • Bachelor's degree in Logistics, Business Administration, Operations Management, or related field
  • MBA or professional certifications (PMP, Fleet Management) preferred

Experience

  • Minimum 5-7 years fleet management experience
  • At least 3 years in supervisory/managerial role
  • Experience managing diverse fleet operations (rental, leasing, corporate)
  • Proven track record in cost management and optimization
  • Experience with fleet management software/telematics

Salary: GHS 6000 net per month
