A public sector organization established to oversee and implement large?scale national development programmes is looking for highly skilled and motivated candidates to join its team of professionals to help it to deliver on its mandate. Its mandate includes managing government and internationally funded projects aimed at driving economic growth, strengthening critical infrastructure, and improving service delivery across key sectors.

The organization works in partnership with multiple ministries, the private sector, and global development institutions to deliver high?impact initiatives ranging from national energy sector reforms to major social and economic development programmes.

Role Summary

The Executive Assistant to the CEO provides efficient and effective administrative support to the CEO, ensuring the efficient operation of the CEO’s Secretariat. The Executive Assistant serves as a liaison between the CEO and internal stakeholders, as well as external partners and stakeholders.

Key Responsibilities

Administrative & Strategic Support:

  • Manages schedules, handles communication, organizes meetings, and prepares reports for executives.
  • Manage the CEO's schedule: Coordinate appointments, meetings, and travel arrangements.
  • Handle correspondence and communications: Respond to emails, letters, and phone calls on behalf of the CEO.
  • Prepare and edit documents: Draft and edit reports, presentations, and other documents as required.

High-Level Coordination:

  • Works closely with leadership to ensure smooth daily operations.
  • Liaise with internal stakeholders.
  • Coordinate with external partners and stakeholders: Interact with government agencies, donors, contractors, and other external stakeholders

Project & Task Management

  • May oversee CEO Secretariat projects as assigned; prepare presentations, and conduct research.
  • Assist with project planning and coordination: Support the development of project plans, timelines, and budgets.
  • Track project progress and milestones: Monitor project progress, identify potential issues, and report to the Special Aide to the CEO.
  • Assist with project meetings and discussions: Organize and participate in project meetings, ensuring that minutes and notes are recorded.
  • Assist with project communications: Communicate with project team members, department heads, and other internal stakeholders.

Information Management:

  • Maintain records and databases: Ensure that all project-related documents, reports, and data are accurately filed and up-to-date.
  • Provide data and insights to support decision-making: Analyze data and provide recommendations to support in decision-making.
  • Controls access to CEO, prioritizes tasks, and filters communications.

Other Responsibilities

  • Develop and implement administrative policies and procedures: Establish and maintain efficient administrative systems and processes.
  • Supervise and mentor administrative staff: Lead and develop the skills of administrative staff members.
  • Perform other duties as assigned: Undertake special projects and tasks as required by the CEO’s Secretariat.

Required Skills or Experience

  • Bachelor's degree in Business Administration, Management, or a related field
  • A minimum of 7 years of experience in an administrative role, preferably in a project management or implementation environment.
  • Proven experience supporting senior-level executives
  • Proficiency in Microsoft Office and Google Suite: Experience with project management software and tools.
  • Excellent communication, interpersonal, and organizational skills.
  • Excellent calendar management skills, travel management, including the coordination of complex executive meetings across multiple geographies
  • Strong analytical and problem-solving skills.
  • Ability to work in a fast-paced environment.
  • Ability to work flexible working hours: Demonstrated ability to balance workload under short deadlines and changing priorities in a fast-paced environment.

Salary: GHS 10,000 - 15000
