Full Job Description - Read Carefully

As the Executive Assistant, you will be responsible for providing efficient and professional administrative support services to the CEO to ensure the optimization of his time, planning and organization of logistics for events, travel and his day-to-day operations. This role is highly sensitive and has visibility and accessibility to senior stakeholders within the CWAR organization.

A day in the life…….

  • Organize and manage the calendar of the CEO and other Senior leadership team.
  • Responsible for setting up and coordinating key meetings such as Regional MANCOM meetings and business meetings. Process minutes, dissemination and follow-up.
  • Initiate and maintain an efficient and comprehensive filing and information retrieval system for the CEO and other Senior leadership team.
  • Prepare presentations, write reports, analyze data and other information required from time to time.
  • Anticipate and carry out all relevant administrative tasks (mails, letters, correspondence etc.) for the CEO and other Senior leadership team.
  • Responsible for the planning, logistics, and organization of all events organized by management (workshops, external engagements, conferences, etc)
  • Fully manage the travel program, itinerary, and administrative details (invitation letters, visas, passes etc.) related with Senior leadership team and VIP visits.
  • Manage travel for the functional heads by preparing, collating, and presenting travels schedules/ dates/ flight bookings/ reports of visits/ processes expense claims for the CEO.
  • Any other duties assigned by the line manager from time to time.

WHAT MAKES YOU SUCCESSFUL?

  • Minimum 5 years of experience in a relevant field as Business Manager or Personal Assistant or Executive Assistant or Functional Assistant.
  • Strong organizational and planning skills
  • Excellent Stakeholder management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office
  • Ability to speak French and English fluently.
  • Result Oriented individual.
  • Critical thinker and pays attention to detail.
  • Ability to work under pressure.

Minimum Educational qualification: Bachelor’s degree in Humanities and Social Science

Minimum Relevant work experience: Minimum 5 years of relevant experience as Business Manager or Personal Assistant or Executive Assistant or Functional Assistant.
